How to Keep Your Commercial Premises Safe and Efficient

A commercial building has a quiet way of telling you when it is being neglected.

A light that keeps flickering near the back stairs. A staff room that is always too cold. A delivery entrance that gets slippery after rain. Heating that runs late into the evening, even when the building is empty. None of these things feels urgent on its own. Together, they point to a bigger issue: your premises may be working harder than it needs to, and possibly less safely than it should.

For many UK businesses, premises management sits somewhere between “important” and “we will get to it later”. That is understandable. You have customers, staff, suppliers, tenants, stock, bookings or clients to think about. The building can become the backdrop. Until something breaks.

But safe and efficient premises are not a luxury. They protect people, reduce disruption, support productivity and help you avoid preventable problems that drain time and money. Whether you manage an office, shop, warehouse, clinic, hospitality venue, workshop, community building or mixed-use property, the same principle applies: you need to understand how the building is used, where risk gathers, and which improvements will make the biggest difference.

This is not about turning every business owner into a facilities expert. It is about giving you a sharper eye.

Understand how your building actually works

Before you improve a premises, you need to study it as it really is.

Not the polished version from the lease plan. The real building, with people moving through it, doors being propped open, heaters being adjusted, storage areas filling up, deliveries arriving at awkward times and bins placed wherever there is space.

Start with usage. Which areas are occupied all day? Which spaces are rarely used? Where do staff gather? Where do customers queue? A meeting room used twice a week should not necessarily be heated, cooled and lit like a full-time workspace. A storeroom that doubles as an informal staff entrance may need better lighting, clearer access and more regular checks than it currently gets.

Then look at movement. How do people enter and leave the premises? What happens when a delivery arrives during a busy period? Can contractors access plant rooms without disrupting staff or customers? Are emergency exits genuinely clear, or has “temporary storage” quietly become permanent?

Different premises reveal different patterns. A café may have heavy water use, kitchen ventilation demands and a constant need to manage slips near entrances. An office may struggle with uneven heating and meeting rooms that feel stuffy. A warehouse may have roof access challenges, loading bay hazards and large areas where small maintenance issues go unnoticed.

Your first job is not to buy anything. It is to notice.

Make safety the starting point, not the afterthought

Efficiency matters, but it should never come before safety.

A building that saves energy but leaves walkways poorly lit is not well managed. A premises with tidy maintenance records but blocked exits is not under control. If staff are unsure how to report hazards, or if nobody owns the follow-up, small problems can stay small only by luck.

The Health and Safety Executive advises that risk assessment involves identifying hazards, deciding who might be harmed and how, and taking action to eliminate or control those risks. Its guidance also includes example risk assessments for offices, shops, food preparation businesses, warehouses and other workplaces, which makes it a useful starting point for many businesses reviewing their premises.

Walk the building with safety in mind. Look at floors, stairs, lighting, entrances, car parks, loading areas, storage spaces, washrooms, kitchens, electrical cupboards and plant rooms. Check whether emergency routes are clear and whether signage makes sense to someone unfamiliar with the building.

Ask staff where near misses happen. They often know. A front-of-house team may know that customers slip near the entrance when it rains. Warehouse staff may know that one loading bay light is not bright enough in winter. Cleaners may know where leaks, damp smells or blocked drains appear before anyone else notices.

Records matter too. If a hazard is reported verbally and then forgotten, the system has failed. A simple written log helps you track what was found, who was responsible, what action was taken and when it was completed. Not glamorous. Very useful.

Pay attention to the outside of the building

Many businesses focus most of their attention indoors. That is natural. Customers, staff, stock and daily operations are usually inside the building. But the outside often decides how well the inside performs.

Roofs, gutters, outlets, downpipes, car parks, pathways, loading bays, external storage, doors and surface water routes all deserve regular attention. If these areas are ignored, weather can quickly become an operational problem. Water near an entrance can create slip risks. Blocked gutters can lead to leaks. Poor drainage around loading areas can slow deliveries. Damp around walls or plant areas can create longer-term maintenance concerns.

The Met Office says the UK is expected to see warmer and wetter winters, hotter and drier summers, and more frequent and intense weather extremes. That does not mean every commercial building faces the same risk. It does mean weather resilience should be part of normal premises planning.

Start at roof level if this can be done safely by qualified people. Are gutters and outlets inspected on a sensible schedule? Are there trees nearby dropping leaves into drainage routes? Are flat roof areas checked after heavy rain? Is access safe and documented? Who arranges inspections, and who follows up if a defect is found?

Do not forget ground level. External lighting, potholes, drainage channels, entrance mats, ramps, yard markings and bin areas can all affect safety and efficiency. A delivery driver reversing in poor lighting is not a theoretical issue. A customer stepping through a puddled entrance is not a theoretical issue. The outside of the building is part of the workplace, even if it is not where your main work happens.

Use energy more intelligently

Energy efficiency often begins with a simple question: why is this system running now?

Heating left on in empty rooms. Lighting in unused corridors. Ventilation settings that no longer match occupancy. Portable heaters used because one area is always uncomfortable. Cooling and heating fighting each other. These are common issues, and they are not always solved by one big upgrade. Sometimes the first improvement is better control.

The UK Business Climate Hub notes that reducing the amount of energy a business uses can cut costs and emissions, while energy efficiency measures may also reduce other operational costs such as maintenance. That is a useful way to think about energy: not as a separate sustainability project, but as part of everyday building performance.

Look at opening hours and real occupancy. A retail unit with predictable trading hours may need a different approach from a clinic with appointments spread through the day. A small office with hybrid working should not necessarily operate as if every desk is occupied from Monday to Friday. A hospitality venue may have intense peaks and quieter periods.

Controls matter, especially as buildings become more complex. A building that is too cold, too hot or badly ventilated is not only inefficient. It is unpleasant. Staff notice. Customers notice. Tenants notice. Comfort and efficiency are often connected.

Build routines that people can actually follow

The best premises plan is the one people use.

That sounds obvious, but many businesses create documents that are too long, too vague or too disconnected from daily work. A plan that lives in a folder and gets opened once a year is not a management system. It is decoration.

Instead, build a simple routine around checks, records and responsibilities. Your facility management checklist should make it clear what is checked, how often it is checked, who checks it, where findings are recorded and what happens when something needs action. Keep it practical. If it takes too long, people will avoid it. If it is too vague, it will not help.

Include the essentials: lighting, floors, entrances, emergency exits, fire safety arrangements, washrooms, heating, ventilation, drainage, external areas, roof access, alarms, water use, contractor visits and maintenance logs. Add site-specific items too. A food business will need different checks from a professional office. A warehouse will need different routines from a community hall. A multi-tenant building will need clarity around shared areas, access and responsibility.

This is also where growth planning matters. If your business is expanding, opening another site or considering cross-border business growth, premises routines become more important, not less. A process that works informally in one small unit may not work across several locations or a larger building.

Responsibility is the bit that often gets missed. Who checks the roof drainage after severe weather? Who confirms a contractor has completed work? Who updates the log? Who tells staff that a hazard has been resolved? Who reviews recurring issues each month?

Without ownership, maintenance becomes a loop of “someone should probably deal with that”. Someone rarely does.

Plan upgrades around risk and disruption

Not every improvement needs to happen at once. Trying to fix everything at the same time can create confusion, cost pressure and unnecessary disruption.

A better approach is to rank issues by risk, operational impact and long-term value. Start with anything affecting safety, compliance, water ingress, business continuity or staff and customer welfare. Then look at recurring maintenance problems, energy waste, comfort complaints and systems that are becoming difficult to manage.

Some improvements may be low cost and immediate. Better reporting procedures. Clearer access routes. More regular gutter checks. Updated emergency contact lists. Staff reminders about switching off equipment. A better log for maintenance issues. None of these sounds exciting, but they can make a real difference.

Other improvements may need planning, budget and specialist advice. Drainage changes, energy controls, major lighting upgrades, roof works, ventilation improvements or refurbishment projects should be considered carefully. What problem are you solving? What evidence do you have? What disruption will the work cause? Who needs to be involved? How will you know whether the change has helped?

It is worth being honest here. Premises management is not always neat. You may find an old issue that nobody recorded properly. You may discover that responsibilities between landlord and tenant are unclear. You may realise that staff have created workarounds because a system has never quite worked for them.

That is not failure. That is information.

A safe and efficient commercial premises is rarely created by one annual inspection or one big purchase. It comes from regular attention, clear records, sensible investment and a willingness to look at the building as a working system. The inside, the outside, the people, the weather, the energy use, the maintenance routine. All of it connects.

So walk the site. Ask better questions. Write things down. Fix the small issues before they become familiar scenery. Then plan the bigger improvements with confidence.
